Can search, select and plan resources from workgroups one has no access to

QUESTION:

We created a new workgroup and restricted access from resources belonging to this workgroup, to only this workgroup. Now resources have the ability to lookup resources belonging to a different workgroup in their preffered resources, but also select them and assign them to tasks. (this also works the other way around)

In the User Setup, the resources only have workgroup access to their own workgroup. They do have (among others) the following features: Edit Calendar Entries of Others and Planned Resources. But according to the Changepoint documentation, resources should have edit Calendar entries of others + Access to the resource's workgroup in order to create task assignments.

How can we prevent resources to lookup resources that do NOT belong to their workgroup in the 'preferred resources'?


ANSWER:

We do not have restrictions on task assignments or the ‘resources’ tree-view. Some customers have done customizations to the preferred resources dialogue to only allow resources the user has workgroup access to, and if project or task level workflow is being used, the workflow can be configured to auto-assign resources in workgroups the user has workgroup access to, and route to a resource manager for resources in workgroups the user does not have access to.

Exception reports or email notifications can be used to identify which project managers are assigning resources outside their restrictions.
