How are the monetary values in the Summary sections of entity profiles calculated?

All monetary values on entity profile summary sections are displayed in the current user's currency.

Customer profile

  • Contracts value – total amount of all customer contracts (from the Contract amount field). The amount is converted to the user's currency using the exchange rate from the start date of the contract if entered, otherwise the created on date is used.
  • Invoices billed –  total amount from all invoices (not deleted and not credited) converted from the invoice currency to the user's currency. The exchange rate is based on the invoice date).
  • Invoices paid – total amount of all paid invoices converted from invoice currency to user currency (exchange rate base on invoice date). Invoices can be in Paid, Sent, or Archive status but at some point they have been fully paid.

Contract profile

  • Contract value – Contract amount converted to the user's currency. The amount is converted to the user's currency using the exchange rate from the start date of the contract if entered, otherwise the created on date is used.
  • Invoices billed –  total amount from all invoices (not deleted and not credited) converted from the invoice currency to the user's currency. The exchange rate is based on the invoice date).
  • Invoices paid – total amount of all paid invoices converted from invoice currency to user currency (exchange rate base on invoice date). Invoices can be in Paid, Sent, or Archive status but at some point they have been fully paid.

Projects

All calculated budget values are always from the last frozen revision converted from budget currency to user currency. The exchange rate is based on the created on date of the revision. Values can be different if the budget uses replace past with actuals. Billing and cost amounts are displayed in the summary table in edit budget dialog for last frozen revision.

  • Budget billing –  total billing amounts for budget services, budget expenses, budget products and budget fixed fees from the last frozen revision of the project budget. Fields from RevisionHistory table: (TotalExpenseExtBillingAmt + TotalProductExtBillingAmt + TotalServiceExtBillingAmt + TotalDeliverableAmt) * exchange rate
  • Budget cost – total billing amounts for budget services, budget expenses and budget contingency. Fields from RevisionHistory table: TotalExpenseExtCost + TotalProductExtCost + TotalServiceExtResCost if resource cost rate is used otherwise TotalServiceExtCost + Contingency
  • Margin value – budget billing amount minus the budget cost amount 
  • Margin percentage: (Margin value divided by the budget billing amount) times 100% 
  • Effort Planned – project planned hours (displayed in hours, days, or FTEs according to the user's preference setting for projects)
  • Effort Actuals – project actuals hours from the most recent project rollup (displayed in hours, days, or FTEs according to the user's preference setting for projects)
  • Billings billed – all invoiced items associated with project (time, expense, request time, request product, fixed fee, contract product, including written-off items), excluding credited invoices (values converted from invoice currency to user's currency using the exchange rate from the invoice date).
  • Billings available –  all approved items that are billable but not yet invoiced, including:
    • time entered for the project
    • expenses entered for the project
    • time entered for project requests
    • fixed fees (prorated) for project tasks 
    • contract products associated with the project 
    • values are converted using the exchange rates from the current date as follows:
      • fixed fees, contract products, and request products – from the contract currency to the user's currency 
      • time and request time – from the time or request time billing rate currency to user's currency 
      • expenses – expense currency to user's currency.
    • Calculation formula for time and request time is same as on the invoice.
