"Worksheet data is being refreshed with changes made by other users" (CP 2012)

QUESTION

From time to time users are getting the following message when trying to save the project worksheet:

Worksheet data is being refreshed with changes made by other users on this project

What does it mean? Can it be avoided?

ANSWER

This message can have two causes:

It is possible in Changepoint that 2 project plan editors edit the same project at the same time, but different tasks. In that case, if PM1 saves first and then PM2, PM2 can get this message.

If this can be excluded, then it might be related to the time sheet. When time entries become actual time, this is an update to the assignment. In Changepoint, there are 3 possibilities when time could become actual time:

  • When entered/created
  • When submitted
  • When approved

This can be configured in Changepoint System Management. So when time is entered/submitted/approved for a certain task this indirectly updates the assignment. Should the PM be editing the project in the worksheet at the same time, he can get the message about data being refreshed. This cannot be avoided as it is not possible to save the project when the worksheet might contain outdated data.

If this message occurs a lot and if time is set to be actual when entered, then a possibility might be to change this setting to "when submitted" or "when approved". Typically, time is submitted or approved less frequently than it is entered, so this reduces the chance of concurrency.
