Why someone cannot see or do something in Changepoint?

If a user is not able to see something or do something in Changepoint, it could be for one or more of the reasons listed here.

Workgroup membership

Resources who are members of a workgroup automatically have access to the resource-related data for the workgroup, for example, in service portlets, reports, and in the resource scheduling calendar.

Resources can also be granted specific access to workgroups that they're not a member of.

Billing office/Cost structure access

Resources are granted access to a billing office either directly or through roles. Resources must have access to a billing office to access the engagements, companies, and invoices that are associated to the billing office, generate invoices in batches, and view data from the billing office in reports.

Security features

Most view and edit access rights to functionality in Changepoint are controlled through security features. Security features can be assigned directly to resources or indirectly through roles. For more information see the Changepoint Security Access Reference guide or online help. 

Sections and fields that have no values are not displayed

In Changepoint, a field appears in an entity profile only when the field contains a value. Similarly, a section appears in an entity profile only when at least one field in the section contains a value. However, all sections and fields appear in the edit views.

Sections and fields are hidden in metadata

Sections and fields can be hidden by the system administrator if your organization has decided not to use them.

Request templates

Some fields and sections may not appear in a request because they have been hidden by a request template. 

Entity roles

Some access comes from a resource being assigned to a role for an entity, for example, engagement manager, project manager, sales manager.

Access restrictions on entity records

Access restrictions can be set up for many entity records such as individual knowledge items, budgets, portfolios, and so on. Access to the entity record can be restricted to specific resources, roles (resources who have the role), or workgroups (resources who are members of the workgroup). Access restrictions on entity records can also be set up in workflow, for example, an entity may not be editable based on the state.

Entity-related access

Some access is related to the entity behavior. For example, the following is a list of access related to projects:

  • resources who are involved with a project automatically can view the project and their tasks. For example, by being assigned to a task or named as a project plan editor (either on the project or the billing office of the related engagement). 
  • resources not involved with a project must be granted access by the project manager
  • The project manager can grant additional access and restrict some access for the project.

Reports

  • Cognos reports - access to Cognos reports and other content is configured in Analytics Portal
  • Standard and custom Report Designer reports - By default, no resources have access to reports. Resources must be granted access in Changepoint Administration.
