Creating and editing Organization calendars

Note: Must be user with administrative privileges.

Below are the basic steps for creating an Organization calendar. The sections that follow provide additional detail about the calendar options.

To create an Organization calendar

  1. Navigate to Admin/Setup/Calendars.
  2. Click New.
  3. Click the Info tab and enter a name for the calendar in the Title field. This is the name that will appear on the Calendar list page, and in the Base Calendar drop-down lists for Resource, Project, and Task calendars.
  4. (Optional) The calendar is active by default. If you want the calendar to be inactive (not available in Base Calendar drop-down lists), uncheck the Active checkbox.
  5. (Optional) If you want to be alerted any time a change is made to this calendar, check the Send Alerts on Calendar Change checkbox.
  6. Click the Working Hours tab and set the working days and hours.
  7. Click the Calendar tab and create events.
  8. Click Save.

To edit an Organization calendar

  1. Navigate to Admin/Setup/Calendars.
  2. Double-click a row, or select a row and choose Actions > Edit.
  3. Make your edits and click Save.

Activating and de-activating Organization calendars

By default, Organization calendars are active, which means they appear in base calendar drop-down menus for projects, resources, and tasks. Once a calendar is inactive, it cannot be used as a base calendar for new calendars and will not appear in the base calendar drop-down lists. If the calendar is in use when it is deactivated, it will remain the base calendar for those calendars already using it.

To deactivate/activate a calendar

  1. Navigate to Admin/Setup/Calendars.
  2. Double-click a row, or select a row and choose Actions > Inactivate. Note that you cannot deactivate a calendar that is in use.

The Calendar list displays an Active? column where you can see the status of all your Organization calendars.

Creating events

All calendars use the same process for creating events.

Setting working hours

All calendars use the same process for setting working hours.

Deleting Organization calendars

You cannot delete a calendar that is in use as a base calendar. If you try to delete a calendar that is in use, you will receive a message stating that the calendar cannot be deleted because it is in use.

To delete a calendar:

  1. Navigate to Admin/Setup/Calendars.
  2. Right-click the calendar you wish to delete and choose Delete from the menu.
  3. Click OK to confirm the delete; click Cancel to cancel the delete.
