About Allotments

Resource fixed bid revenue allotments give project managers the ability to credit the revenue from fixed bid tasks to the resources who performed the work on those tasks. Because time and expense entries made to fixed bid tasks are non-billable and do not generate billable amounts in the system, allotments must be used if you want to show resource-specific revenue generation for the fixed bid work performed.

The allotment revenue, along with other revenues from billable time and expense entries can be used to better understand each resource's total revenue generation for any given period of time. This infor­mation can then be used to inform managers about resource revenue, profitability, and financial perfor­mance.

Allotment Info

You can enter information about an allotment, such as the amount, date, and notes when creating or editing the allotment. This information can be updated at any time. You can also view last modified details by selecting the (Details) link on the All Allotments screen.

Allotment Reports

Fixed Bid revenue allotment reports give managers the ability to report on the allotments made to their resources and projects. This allows managers to view and track revenue allotments throughout the system in order to better understand how the resources who work on fixed bid projects are performing.

Why Create an Allotment?

If your organization performs fixed bid work, and you want to track the revenue generated by the resources who performed that work, it can be useful to create allotments. By creating allotments you can assign a specific dollar amount to each resource who contributed to the generation of the fixed bid revenue. The revenue allotment amounts are then reflected in resource financial reports, along with other revenues from time and expense, giving you the entire revenue generation picture for that resource. This can be particularly important if your resources are compensated based upon their finan­cial performance.

When to Create an Allotment?

To create allotments you must have already created a fixed bid invoice for the work performed. Once the invoice is created you can allot revenue to the various resources who contributed to the work covered by that invoice. You may want to create the allotments immediately after creating the invoice, or it may be better to wait until the invoice has been paid before allotting the revenue. The decision about exactly when to allot revenue will differ across organizations, but most likely should be applied consistently across any single organization or business unit.

Who can Create, Edit, Delete, and View Revenue Allotments?

Users with the following permissions can create, update, and delete allotments:

  • Members of the Org standard group
  • Members of the Fixed Bid standard group
  • Project owners
  • Users with Edit permission on the project

  • Members of the Org standard group
  • Members of the Fixed Bid standard group
  • Project owners
  • Users with Edit permission on the project
  • Users with View Rollups permission on a project
