Setting up the PPM Pro - ProjectPlace Integration

This topic is for PPM Pro administrators and describes how to set up the PPM Pro and ProjectPlace integration. First, you'll enlist Customer Care to configure back-end support. Then you'll set up the PPM Pro project category as described below. After setup is complete, end-users can find information about using the tools together in Using PPM Pro and ProjectPlace.

Note: Production PPM Pro accounts can only be connected with production ProjectPlace accounts and sandbox PPM Pro accounts can only be connected with sandbox ProjectPlace accounts.

Note: At this time, a PPM Pro project can be synced with EITHER ProjectPlace OR AgilePlace. Syncing a PPM Pro project with both ProjectPlace and AgilePlace is not supported at this time

Overview

PPM Pro and ProjectPlace work together at the task/activity level; with the integration enabled, users can sync PPM Pro projects to ProjectPlace workspaces. When the integration is active, creating new tasks in PPM Pro results in the creation of corresponding ProjectPlace activities on a specified ProjectPlace workspace; resources on the project Staffing screen are added automatically to the ProjectPlace workspace Members tab.

The ProjectPlace/PPM-Pro integration is available to users Team Member Plus and Team Member licenses. Team Member Plus users can enter time in ProjectPlace, and view it in PPM Pro.

Using the self-service administration (SSA) facility, administrators can incorporate standard fields into PPM Pro project Details to set operational properties for the integration, and can use additional task fields to display data from the corresponding ProjectPlace card(s). The integration can be activated on a project-by-project basis. Those PPM Pro projects that are participating in the integration will control the work breakdown structure (WSB/tasks).

Setup for PPM Pro Administrators

After Customer Care provisions the integration (above) your PPM Pro administrator will do the following:

  1. Log in to PPM Pro and Navigate to Admin/Organization/Setup/All Entities/Projects/Categories and choose (or create) the category you will be using for projects that you want to sync with ProjectPlace.  
  2. For each category that will support the integration, add the following fields to the project Details: (required) Sync with ProjectPlace, and (optional) PP Closed Cards, PP Open Cards , PP Percent Closed.
  3. For each task category, optionally add the fields you will be using to view updated information from ProjectPlace: Activity ID, Activity Status, PP Closed Cards, PP Open Cards, PP Percent Closed.
  4. Check that the users responsible for creating projects that integrate with ProjectPlace have Project -> Create permission. If the "ProjectPlace" fields are put on a project after the project is created (added to the Details page in SSA after the project was created), the user will need Project > Edit permission to enable the sync.

PPM Pro Fields for ProjectPlace Activity Statistics

The following are standard PPM Pro fields that can be placed on PPM Pro project and/or task Details to gather statistics and help keep PPM Pro users up-to-date with activities in ProjectPlace. 

Field Name Description

PP Activity ID

(Task Details only) The ID of the ProjectPlace activity linked to this PPM Pro task. You can navigate to the ProjectPlace activity by opening the quick view card and clicking on the tasks title.
PP Activity Status

(Task Details only) The status of the ProjectPlace activity linked to this PPM Pro task.

  • Planned - when a ProjectPlace activity is not done and not connected to a board
  • In Progress - when a ProjectPlace activity is not done and connected to a board
  • Done - when a ProjectPlace activity is done
PP Closed Cards

Task Details - Displays the number of closed cards that are associated with the selected task/activity in the linked ProjectPlace workspace.

Project Details - Shows a rollup of the total count of Done or Closed cards in a synced ProjectPlace workspace - whether or not the cards are connected to an activity. 

This number is refreshed any time a change is made.

PP Open Cards

Task Details - Displays the number of open cards that are associated with the selected task/activity in the linked ProjectPlace workspace.

Project Details - Shows a rollup of the total count of cards that are not Done or Closed - whether or not the cards are connected to an activity. 

This number is refreshed any time a change is made.

PP Percent Closed

Task Details - Calculation of the Done vs Not Done cards linked to the corresponding activity or any child activities in the associated ProjectPlace workspace

 

Project Details - The percentage of closed cards v the total - whether or not the cards are connected to an activity. Matches the value of the "Done %" field in the synced ProjectPlace workspace

This number is refreshed any time a change is made.

Sync with ProjectPlace (Required) (Project only) Enabling and saving this field initiates the synchronization of a PPM Pro project and a ProjectPlace workspace (or project template to workspace template).

Existing Projects

If your organization has existing projects that you'd like to sync with ProjectPlace, simply add the "Sync with ProjectPlace" fields to existing categories or change the project category to one that supports the integration.
