Enable and Manage Workspace Requests

Use Requests to capture ideas for new workspaces executed in Projectplace. Requests can be placed by everyone within and outside the organization, regardless of whether they are Projectplace users or not. Workspaces can easily be created based on a request. 

Administration of requests is performed by the account administrator.

Enable Requests for Your Account

Requests must be enabled by the account administrator.

To enable Requests:

  1. Click the tool selector Tool selector.png in the top navigation bar, and select Requests
  2. Click the Administration tab.
  3. Select the checkbox Enable requests for the account.
  4. The link for the web address to the public available request form is displayed in a box at the top right corner of the window, labeled, Copy link. Copy or share the link to people you want to place requests.

Customize the Request Form

The default request form has two fields, Request name and Description. You can add more fields and change the order of the fields.

To add new fields and edit existing fields:

  1. Click the tool selector Tool selector.png in the top navigation bar, and select Requests
  2. Click the Administration tab.
  3. Click Edit
  4. Click Add field
  5. Select either Add text field or Add multi-line text field from the available list.
  6. For each field you can:
    • Add label
    • Provide an additional (hint) text.
    • Select the * required field checkbox to make the field mandatory to enter details.
    • Change the order of the fields by hovering the cursor over a field, a gray vertical line with three dots appears to the left of the field. Use the drag and drop functionality by clicking the three dots. Do not release the click until after you move the field to the desired location.
    • Delete fields by hovering the cursor over the field you want to delete.  An X appears at the top right corner of the field.  Click the X that appears to remove the field from the request.
  7. When you have completed your additions and changes, click Save.

The Request form will be created in the user’s current language setting.

Manage Incoming Requests

View requests and choose to approve or reject them. If a request is approved a project is created in Projectplace.

  1. Click the tool selector Tool selector.png in the top navigation bar.
  2. Select the Requests tab to see a list of requests.

The status of a request can be either:

  • PendingStatus gray(grey) - Waiting to review request for an Approve or Reject decision.
  • ApprovedStatus green(green) - The request has been approved and a workspace has been created.
  • RejectedStatus red(red) - The request has been rejected.

A decision made on a request cannot be changed once an initial selection has been made.

To accept a request and create a workspace:

  1. Click a request to open the request detail pane.
  2. Click Approve.
  3. Enter a Name and Description for the new workspace.
  4. If applicable, also enter Cost code and Department that the workspace should be connected to.
  5. Select a template to base the new workspace on.
  6. Click Create workspace. Requests are approved once the workspace has been successfully created.

Account administrators approving requests will be the head administrator for the created workspace. You can transfer this responsibility to any other workspace member. First add the member as an administrator for the project, and then change the head administrator.

To reject a request:

  1. Click a request to open the request detail pane.
  2. Click Reject to disapprove the creation of a workspace.
  3. Add a comment in the Reason for rejection box offering the details why the request was rejected.
