Objective

These steps enable administrators to set up Portfolios to support project and portfolio management capabilities for the "Beyond timesheeting" use case. 

 

Step Description
Ensure the system-level setup

Ensure the "Use Project and Resource Management" global option is enabled in the system.

Global options

Administrators can use the Update Global Options screen to set, clear, and modify global options for the product.

  1. Click main menu > Administration > System Configuration > Global Options.

  2. On the Update Global Options screen that appears, set the options you want to configure. Expand or collapse sections as needed. For details about the options in each section, click a link in the list following this procedure.

System options

System options are related to specific functionality, such as notifications. Use the system options to set rules and defaults that apply across the entire product.

To access the Administer Application screen:

  1. Click main menu > Administration > System Configuration > System Options.

  2. On the Administer Application screen, click a category (such as Units or Time Log Setup)  to manage the system options for that category on another screen.

Ensure your users have the appropriate role permissions for project and portfolio management capabilities

A permission helps ensure only appropriate users have access to a specific work or action item, resource, contract, strategic entity, outcome, or alternate structure. 

Permissions provide users with either read-only or read/write access to specific sets of information, allowing for the review or modifying of work, resources, contracts, strategic entities, outcomes, or requests. 

You can create the initial permissions for users if the product is configured to permit you to do so. After you create the initial permissions, users can share their access with other users by adding permissions. 

To create initial permissions:

  1. Click main menu > Administration > Users and Roles > Configure Users to open the Administer Users screen.

  2. In the User ID column, click the appropriate user ID.

    The user's permissions are broken down by type in the Review User screen that appears.

  3. In any of the permissions sections, click Update.
  4. Use the Create/Update Permissions screen that appears to add permissions.
  5. If you want to control which permissions a user needs to be able to allocate or associate one type of entity with another type of entity, set the relevant rules as needed. 

 

Enable user role features

The user role features in the Planview Portfolios section of the Review Role screen assign permissions to a user role related to project and resource management.

Allows a user to view projects.

Use Project & Resource Mgmt.

Allows a user to scope, plan, schedule, and manage projects and resources.

Work Management

Description

Detail Project

Allows a user to build the WBS of a project and to access the Project Estimating and Calculate Project Estimate screens; displays the Estimate menu on the Plan and Schedule Detail screens; allows the user's name to be selectable for the lifecycle steps of performing functional estimating and copying WBS templates.

Add Support Tickets

Allows a user to create new support tickets through timesheets or the Ticket option available on the +New menu.

Use Work and Assign. screen

Required for access to the Plan screen.

Search for Resource

Allows a user to utilize Find Qualified Resources by searching for a resource.

Allocate Resources

Required for the following items:

  • Have the option (on permissions screen) to select the Approve Request permission for resources.
  • Allocate or reserve resources to work.
  • Use resources substitution functionality.

This user feature works with access permissions to control displaying of allocation and reserve related notifications.

Use CPM Scheduling

Allows a user to run the CPM Scheduling Engine for projects to which they are granted read/write access; also displays the Run Schedule option on the Plan and Schedule Detail screens.

Required for a user's name to be selectable for a lifecycle step for setting a schedule.

Schedule Resources

Allows a user to execute the resource-based scheduling engine for projects to which they are granted read/write access.

Cut/Paste Started Work

Allows a user to cut and paste work that has been started.
