Managing workspace membership

Workspace members can access the workspace capability items. Members can be individual users or groups of users. Administrators add and remove members in Planview Admin or in Planview.Me.

How membership works

  • Workspace members automatically have access to all of the workspace's enabled capabilities.
  • Membership gates workspace navigation: users see Workspaces in the left-hand navigation only when they are members of at least one workspace.
  • Source-product permissions still apply. A member who cannot see a board in AgilePlace does not see that board in the workspace. See Access and permissions in Planview.Me.
  • When you add a member, the search returns all users with a Planview.Me license.
  • Adding groups as workspace members is supported.

Adding members

To add a member in Planview Admin

  1. In the workspaces list, click the workspace.
  2. In the details pane, click the Members tab.
  3. To add a member, click +Add and then select users or groups.
  4. Search for and select the checkboxes for the users or groups to be added as members.
  5. Set the role for the user or group.
  6. Click Save.

To add a member in Planview.Me

  1. In the workspace view, click More options (vertical dots) > Manage workspace (settings icon).
  2. Click the Members tab.
  3. To add a member, click +Add and then select users or groups.
  4. Search for and select the checkboxes for the users or groups to be added as members.
  5. Set the role for the user or group.
  6. Click Save.

Removing a member

In the members list, click (vertical dots) > Remove user/group. Removing a user from a child workspace removes them from that child only.

Workspace roles

A member's workspace role is separate from their Planview.Me product role (Admin or User; see Setting up Planview.Me). Each member has one of two workspace roles: Admin or User. Admins can manage the workspace, including its settings and members and can create workspaces a level under their own. Members use the workspace's capabilities.

Groups and nested groups

Groups from Planview Admin can be workspace members, and nested groups are supported. The Add members dialog lets you add users and groups, and the members list shows users and groups on separate tabs. Select a member (user or group) to open its details panel, which shows the member's role and a link to edit the user or group in Planview Admin.

Members of parent and child workspaces

Members of a parent workspace are automatically members of its child workspaces (downward only). You can give a user a higher role on a specific child workspace than the role they inherit; the higher role does not propagate upward or sideways. Removing a user from a child workspace removes them from that child only.
