Working with Portfolios item milestones

NOTE

This functionality is available only on Planview Roadmaps for Enterprise environments. 

           

           

NOTE

This feature requires the June 2024 release of Planview Portfolios.

           

When you import a strategy, outcome, or work item from Planview Portfolios, the milestone data appears in the Milestones section of the Details pane of the Roadmaps item. By default, strategy and outcome milestones have the same shape and color as configured in the charting options in Planview Portfolios, and work milestones are displayed as blue diamonds on the roadmap item bar. 

All users can view the milestones in Roadmaps for the Portfolios items that they have access to, but only Enterprise users can display and edit milestones. 

           

Displaying Portfolios item milestones

Before Enterprise users can edit milestones dates or change their shape and color in the Details pane, they must first enable the option for the milestone to be displayed in the timeline. 

           

NOTE

It may take up to 24 hours for new milestone types and changes to default milestone colors and shapes that are configured in Planview Portfolios to appear in Planview Roadmaps due to a synchronization process that runs overnight.

           

To show Portfolios item milestones in the timeline

  1. In the roadmap timeline, click the item to display the Details tab.
  2. In the Milestones section, click to enable the Display option.
  3. Click Save.

To change the date of a Portfolios item milestone

  1. In the roadmap timeline, do one of the following:
    • Drag the item to another date. The item milestone date is changed relative to the start date of the item.
    • Click the item and in the Milestones section of the Details tab, edit the date of the milestone, and then click Save.

To change the shape and color of a Portfolios item milestone

  1. In the roadmap timeline, click the item to display the Details tab.
  2. In the Milestones section, click to enable the Display option.
  3. Do one or both of the following:
    • Click the current shape and select a different shape from the list that appears.
    • Click the current color and select a different color from the list that appears.
  4. Click Save.

           

           

Deleting Portfolios item milestones

Portfolios item milestones cannot be deleted in Planview Roadmaps, but Enterprise users can remove them from the timeline by turning off the display option.

When a Portfolios milestone is deleted or the milestone flag is removed in Planview Portfolios, the milestone data is completely removed from all items in Planview Roadmaps. 

           

           

Viewing differences between Portfolios item milestone dates in roadmaps and source items

The milestone dates from Portfolios items come from the following entity attributes in Planview Portfolios:

  • strategy – Target Date
  • outcome – Target Date
  • work – Actual/Schedule Finish Date

If milestone dates are changed in Planview Portfolios or Portfolios roadmap item dates are changed directly in the roadmap, the date difference indicator is displayed. Dragging a Portfolios roadmap item affects the milestone dates in the roadmap. For example, when an Enterprise user moves an item in the timeline while maintaining its duration, the milestones are moved the same number of days that the item is moved and the date difference indicator appears.

When only the start date or finish date of an item is changed, the milestones are not changed but an Enterprise user can change them in the Details pane. Changing the duration and milestone dates apply only to the roadmap and not the source item in Portfolios. Changing these dates could be useful to show changes in plans.

To view date differences for Portfolios item milestones

Click clock_dk_gray.png Date difference in the main toolbar. Portfolios item milestones appear on the orange line that indicates that the planned dates for the roadmap item are different from the source item. 

To update the milestone dates to match the source dates

In the Milestones section of the Details pane, click the more actions icon ellipse_vertical_dk_gray.png > Update date to match source.
