Quarterly:

  • Harvest success stories, share them with your team, leadership and peers. Apply learnings more broadly. 
  • Communicate your priorities for the upcoming quarter and set Flow Metrics targets accordingly. 

Monthly:

  • Review your Portfolio Insights for overall value stream health and dive deeper into value streams experiencing issues.
  • For each value stream, log monthly business results (recommended on the same day of every month). Confirm you’re on track to meet targets.  
  • Monitor trends in Flow Metrics and examine bottlenecks. Evaluate the impact of your experiments on flow. 

In Retros:

  • Review Flow Metrics, Insights, bottlenecks and Business Results. 
  • Discuss whether you’d made the right tradeoffs as represented in Flow Distribution®. 
  • Choose improvements to target during the next increment.

In Team Lead 1x1s:

  • Come with targeted questions based on Flow Metrics to prompt richer conversations. 
  • Discuss new issues and mitigation options.

During Sprint Planning:

  • Select the work to turn into an increment of value based on the desired business results. 

  • Identify bottlenecks to raise and tackle within the next sprint.

During Sprint Retrospective:

  • Review metrics, trends, insights and business results. When discussing things that went well and didn’t go so well, try to see how it’s manifesting in the data (Neglected WIP meter, bottlenecks). 

  • Leverage an empirical approach by creating improvement items in the backlog for the upcoming sprint. Tag them as debt.

  • Add timeline events to denote experiments and other meaningful changes and monitor their impact on value delivery.

  • Take a quick team happiness survey and log it as a happiness Business Result.

In a monthly 1:1 with the Product Owner:

  • Do a monthly review of the dashboard.

  • Make sure that the product goals are represented well in the value stream business results.

  • Update and review this month’s business results and discuss ways in which flow should be adjusted to achieve them.

  • Represent and order backlog items accordingly.
