KeyedIn Microsoft Teams Quick-Start Guide

Enable personal Teams notifications

1. Sign in to KeyedIn as an administrator.
2. Go to **Configuration > Notification Settings**.
3. Enable **Teams Notifications**.
4. From the same page, download the Sciforma KeyedIn bot ZIP file.
5. Install the bot in Microsoft Teams.
6. Confirm the account-matching option used by your organization:
   * KeyedIn User ID, or
   * Federation ID.
7. Ensure each user’s Teams account matches the selected KeyedIn identifier.

Use personal Teams notifications

After setup, KeyedIn sends supported personal alerts to the **Sciforma KeyedIn** bot in Teams. Each alert includes:

* A title
* The notification message
* A **View in KeyedIn** button that opens the related item

Supported examples include:

* Timesheet submissions and disapprovals
* Task, mitigation-plan, resolution-plan, and To Do assignments
* Project posts and comments on the user’s posts
* Expense-submission rejections
* Project-manager assignments and project approvals
* New resources assigned to projects managed by the user
* Inter-project dependency amendments
* Non-project approval requests

Configure and use Teams Chat

The article describes the Microsoft Teams chat capability, which supports real-time text communication for one-to-one and group conversations through the KeyedIn integration.

Validation checklist

* **Admin:** Teams Notifications is enabled in **Configuration > Notification Settings**.
* **Admin:** The Sciforma KeyedIn bot ZIP has been downloaded and installed in Teams.
* **Admin:** The selected User ID or Federation ID matching method is understood.
* **User:** The Teams account matches the user’s KeyedIn identifier.
* **User:** A test notification appears in the Sciforma KeyedIn bot.
* **User:** **View in KeyedIn** opens the expected record.
* **Environment:** Testing is performed in live, not sandbox, for personal notifications.

Troubleshooting

* **No notification appears:** confirm Teams Notifications are enabled and verify the Teams-to-KeyedIn account match.
* **The bot is unavailable:** confirm that the bot ZIP was downloaded from **Configuration > Notification Settings** and installed in Teams.
* **The link does not open the expected item:** test the **View in KeyedIn** button while signed in to the correct KeyedIn environment.
* **Testing in a sandbox:** personal Teams notifications are not available in sandbox environments.
