Filtering items in the timeline

           

Filtering items

Planview Roadmaps for Enterprise users can filter the items so that only the items that match one or more of the following filter options are displayed in the timeline:

  • item name or partial name
  • start date and finish date  – only the start or finish date or both dates, based on specific dates or a range of dates
  • item source –  Roadmaps or Planview product from which the item was imported
  • custom item attribute – values from custom item attributes
  • AgilePlace boards, card types, custom fields, custom icons, status, and priority
  • Portfolios attributes:
    • Outcome – parent, status, type
    • Strategy – parent, status, type
    • Work – parent, status, work execution type
    • Custom Portfolios attributes (single-select alternate structure attributes). For more information, see Adding additional Portfolios attributes.
  • date differences – items with or without date differences (filter criteria appears only when date differences are shown on the timeline)
  • dependencies – items with no dependencies or items with incoming and/or outgoing dependencies

When you specify more than one filter option within the same option section, the items that are displayed must match one  of the filter options in the section.

When you specify more than one filter option from two or more sections, the items that are displayed must match all of the filter options.

To filter items in a timeline

As you specify the filter options, the items in the timeline are automatically filtered. 

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. To filter by item name, type the item name or partial name in the Name field.
  3. To filter items based on the planned start or finish dates:
    • on or after a specific date, specify the date in the From field
    • before or on a specific date, specify the date in the To field
    • within a date range, specify dates in both the To and From fields
  4. Specify the other filter options as required.
  5. To clear the filter criteria from a section in the Filter pane, click the Clear filters icon eraser.png. in the section heading.
  6. To close the Filter pane, click the X.

To clear all filters in a timeline

Click the Clear filters icon eraser.png at the top right of the timeline or Filter pane.

           

           

Saving sets of filter criteria (saved filters)

Planview Roadmaps for Enterprise users can create a set of filter criteria and save it as a saved filter for their own use or to be shared with others. Enterprise for Teams users can view and apply saved filters, but they cannot create or edit them.

To create a saved filter

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. Specify the filter criteria.
  3. In the Saved filters section, click the Options icon ellipse_vertical_dk_gray_button.png  > Save as.
  4. In the New saved filter dialog, enter a name for the saved filter.
  5. To make the filter available to other users, select the Share with all users check box.
  6. Click Save.

Editing saved filters

You can do the following with saved filters:

  • change the filter criteria
  • change the name 
  • share the saved filter or remove sharing from it
  • create a copy with a different name

To change the filter criteria for a saved filter

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. In the Saved filters section, select the filter that you want to change.
  3. Change the filter criteria.
  4. In the Saved filters section, click the Options icon ellipse_vertical_dk_gray_button.png  > Save.

To change the name of a saved filter

You can rename a saved filter.

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. In the Saved filters section, click the Options icon ellipse_vertical_dk_gray_button.png  > Rename and manage sharing.
  3. Make the necessary changes.
  4. Click Save.

To share a saved filter or remove sharing from a saved filter

You can either share the filter with others or remove sharing from it.

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. In the Saved filters section, click the Options icon ellipse_vertical_dk_gray_button.png  > Rename and manage sharing.
  3. To make the filter available to other users, select the Share with all users check box.
  4. To remove sharing from the filter, clear the Share with all users check box.
  5. Click Save.

To copy a saved filter

To copy a saved filter, you save it with another name.

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. In the Saved filters section, click the Options icon ellipse_vertical_dk_gray_button.png  > Save as.
  3. In the New saved filter dialog, enter a different name for the saved filter.

           

           

Applying saved filters

Both Planview Roadmaps for Enterprise and Roadmaps for Teams users can view and use shared saved filters, but only Planview Roadmaps for Enterprise users an create and edit saved filters.

To apply a saved filter

  1. Click the filter icon funnel_dk_gray_CC.png in the menu bar to display the Filter pane.
  2. In the Saved filters section, click the saved filter list and then select a saved filter. Only the filter items that match the saved filter criteria are displayed in the timeline.
  3. To clear the filter criteria from a section in the Filter pane, click the Clear filters icon eraser.png. in the section heading or at the top right of the timeline.
  4. To close the Filter pane, click the X.
