Reviewing or Modifying Financial Allocation Values

Why Review or Modify Financial Allocation Values through the Strategy View Screen​​​​​?

Financial allocation values of work and outcomes are used for effort columns, financial columns, summarization, and rollups. A work financial allocation value indicates the percentage of the work's effort that's to be expended in supporting the strategic entity. An outcome financial allocation value indicates the percentage of the outcome's total cost that's to be expended in supporting the strategic entity. The total cost of a work item or outcome is based on its financial allocation value.

The Strategy View screen can display a list of financial allocation values relevant to work and outcomes currently associated with a particular strategic entity. Depending on your system's configuration, you can review work or outcome financial allocation values on the screen's Associated Work tab or Associated Outcomes tab (respectively). If you can review values for a strategic entity's associated work or outcomes, your system's configuration determines whether you can also modify those values on the relevant tab.

Review Financial Allocation Values of Work or Outcomes Associated with a Strategic Entity

To review the financial allocation values of work or outcomes associated with a strategic entity:

  1. Click the appropriate tab (Associated Work or Associated Outcomes).

    Depending on which tab you selected, it includes financial allocation values for the work or outcomes currently associated with the strategic entity.A value displayed in the tab's Financial Allocation % column indicates the percentage of the relevant work or outcome's effort that's to be expended in supporting the strategic entity. The system takes financial allocation values into account when calculating the total cost of the relevant work items or outcomes. Modify Financial Allocation Values of Work or Outcomes Associated with a Strategic Entity

To modify financial allocation values for work or outcomes associated with a strategic entity:

  1. Click the appropriate tab (Associated Work or Associated Outcomes).

    Depending on which tab you selected, it displays financial allocation values for the work or outcomes currently associated with the strategic entity.

  2. For each value you want to change in the Financial Allocation % column, double-click the relevant cell and then type a new value.

    A value displayed in the Financial Allocation % column indicates the percentage of the relevant work item or outcome's effort that's to be expended in supporting the strategic entity. The total cost of that work item or outcome is based on its financial allocation value. For more information about the Financial Allocation % column, see Columns of the Associated Work and Associated Outcomes Tabs.

Associated Work Tab Columns

Column Description
Work

Identifies work currently associated with the strategic entity.

Financial Allocation %

Indicates the percentage of a work item's effort that's to be expended in supporting the strategic entity. The total cost of a work item is based on its financial allocation value.

When work is associated, its Financial Allocation % value is automatically set to 100 percent. You can change that value as needed.

Financial allocation values are used for effort columns, financial columns, summarization, and rollups.

The sum of the values in the Financial Allocation % column doesn't have to equal 100.

Associated Outcomes Tab Columns

Column Description
Outcome

Identifies outcomes currently associated with the strategic entity.

           

TIP

The name of the lowest level of the Outcome structure determines the name of this column.

           

Financial Allocation %

Indicates the percentage of an outcome's effort that's to be expended in supporting the strategic entity. The total cost of an outcome is based on its financial allocation value.

When an outcome is associated, its Financial Allocation % value is automatically set to 0 (zero). You can change that value as needed.

Financial allocation values are used for effort columns, financial columns, summarization, and rollups.

The sum of the values in the Financial Allocation % column doesn't have to equal 100.

           

           

Dig Deeper

  • You should keep the following information in mind as you modify financial allocation values for work or outcomes:

  • When work is associated with a strategic entity, the work item's default financial allocation value for that association is 100 percent. You can change that default value to a value that typically should be between 0 (zero) and 99.

  • When an outcome is associated with a strategic entity, the outcome's default financial allocation value for that association is 0 (zero) percent. You can change that default value to a value that typically should be between 1 and 99.

  • When financial data is rolled-up, 0 percent values are ignored. This approach gives project managers and managers of a strategic plan or outcome plan the flexibility of rolling up data as needed without having to ensure that the total of all of the relevant financial allocations add up to 100 percent.

  • A work item or outcome's financial allocation value can exceed 100 percent. Suppose a work item or outcome's financial allocation value is set to 200 percent, and then $5 is entered for that work or outcome on the Financial Planning Detail screen. In that case, the system doubles the amount so that $10 is used when displaying, summarizing, or rolling up the work or outcome's financial data on a Portfolio View screen.

  • If you want to access the Work Detail screen ​​​​​​ for a particular work item as you review or modify work financial allocation values, click the action menu button > Work Detail on the relevant row.

  • If you want to access the Outcome Detail screen for a particular outcome as you review or modify outcome financial allocation values, click  the action menu button > Outcome Detail on the relevant row.

  • You should keep the following information in mind as you modify financial allocation values for work or outcomes:

  • When work is associated with a strategic entity, the work item's default financial allocation value for that association is 100 percent. You can change that default value to a value that typically should be between 0 (zero) and 99.

If you can't use the Strategy View screen to review or modify financial allocation values for work or outcomes currently associated with a strategic entity, contact your administrator to ensure that the following prerequisites are met.
