Why Review or Modify Work or Strategic Entity Financial Allocation Values on the Outcome View Screen?

Financial allocation values of work and strategic entities are used for effort columns, financial columns, summarization, and rollups. A work financial allocation value indicates the percentage of the work's effort that's to be expended in supporting the outcome. A strategic entity's financial allocation value indicates the percentage of the entity's effort that's to be expended in supporting the outcome. The total cost of a work item or strategic entity is based on its financial allocation value.

The Outcome View screen can display a list of financial allocation values relevant to work or strategic entities currently associated with a particular outcome. Depending on your system's configuration, you can review work or strategy financial allocation values on the screen's Associated Work tab or Associated Strategies tab (respectively). If you can review values for an outcome's associated work or strategic entities, your system's configuration determines whether you can also modify those values on the relevant tab.

Reviewing Financial Allocation Values of Work or Strategic Entities Associated with an Outcome

To review the financial allocation values of work or strategic entities associated with an outcome:

  1. On the secondary navigation bar, click Associated Work or Associated Strategies.

    Depending on which tab you selected, it includes financial allocation values for the work or the strategic entities currently associated with the outcome. For more information about the tabs, see Columns of the Associated Work and Associated Outcome Tabs and Dig Deeper.

Modifying Financial Allocation Values of Work or Strategic Entities Associated with an Outcome

For information you should keep in mind as you modify financial allocation values, see Dig Deeper.

           

To modify financial allocation values for work or strategic entities associated with an outcome:

  1. On the secondary navigation bar, click Associated Work or Associated Strategies.

    Depending on which option you selected, it includes financial allocation values for the work or the strategic entities currently associated with the outcome.  

  2. For each value you want to change, click the relevant cell in the Financial Allocation % column and then type a new value.

    A value displayed in the Financial Allocation % column indicates the percentage of the relevant work item or strategic entity's effort that's to be expended in supporting the outcome. The system takes financial allocation values into account when calculating the total cost of the relevant work items or strategic entities. Associated Work Tab Columns

Column Description
Work

Identifies work currently associated with the outcome.

Financial Allocation %

Indicates the percentage of a work item's total effort that's to be expended in supporting the outcome. When work is associated, its Financial Allocation % value is automatically set to 100 percent. You can change that value as needed.

Financial allocation values are used for effort columns, financial columns, summarization, and rollups.

The sum of the values in the Financial Allocation % column doesn't have to equal 100.

Associated Strategies Tab Columns

Column Description
Program

Identifies a strategic entity currently associated with the outcome.

           

TIP

The name of the lowest level of the Strategy structure determines the name of this column.

           

Financial Allocation %

Indicates the percentage of a strategic entity's total cost that's to be expended in supporting the outcome. When a strategic entity is associated, its Financial Allocation % value is automatically set to 0 (zero). You can change that value as needed.

Financial allocation values are used for effort columns, financial columns, summarization, and rollups.

The sum of the values in the Financial Allocation % column doesn't have to equal 100.

           

           

Dig Deeper

  • You should keep the following information in mind as you modify financial allocation values of work or strategic entities:

  • When work is associated with an outcome, the work item's financial allocation value for that association is set to 100 percent. You can change that default value to a value that typically should be between 0 (zero) and 99.

  • When a strategic entity is associated with an outcome, the strategic entity's financial allocation value for that association is 0 (zero) percent. You can change that default value to a value that typically should be between 1 and 99.

  • When financial data is rolled-up, 0 percent values are ignored. This approach gives project managers and managers of a strategic plan or outcome plan the flexibility of rolling up data as needed without having to ensure that the total of all of the relevant financial allocations add up to 100 percent.

  • A work item or strategic entity's financial allocation value can exceed 100 percent. Suppose a work item or strategic entity's financial allocation value is set to 200 percent, and then $5 is entered for that work or strategic entity on the Financial Planning Detail screen. In that case, the system doubles the amount so that $10 is used when displaying, summarizing, or rolling up the work or strategic entity's financial data on a Portfolio View screen.

  • If you want to access the Work Detail screen for a particular work item as you review or modify work financial allocation values, click the action menu button > Work Detail on the relevant row.

  • If you want to access the Strategy Detail screen for a particular strategic entity as you review or modify strategy financial allocation values, click the action menu button > Strategy Detail on the relevant row.

           

Prerequisites (Why can't I review or modify financial allocation values through the Outcome View screen?)

If you can't use the Outcome screen to review or modify financial allocation values for work or strategic entities currently associated with an outcome, contact your administrator to ensure that the following prerequisites are met.

Why Review or Modify Work or Strategic Entity Financial Allocation Values on the Outcome View Screen?

Financial allocation values of work and strategic entities are used for effort columns, financial columns, summarization, and rollups.   • You should keep the following information in mind as you modify financial allocation values of work or strategic entities:

  • When work is associated with an outcome, the work item's financial allocation value for that association is set to 100 percent. You can change that default value to a value that typically should be between 0 (zero) and 99.

  • When a strategic entity is associated with an outcome, the strategic entity's financial allocation value for that association is 0 (zero) percent. You can change that default value to a value that typically should be between 1 and 99.
