Email Settings

On the Email Settings page, administrators can enable or disable the sending of welcome emails to new users when they are added to Planview Admin. The content of welcome emails differs based on the authentication method you chose for your instance of Planview Admin.

  • If you have SSO enabled, the welcome email is purely informational. It lets the user know they have been added to Planview Admin and that they can sign in via SSO.
  • If you have password authentication enabled, the welcome email provides a link that users must use to create their password to access Planview Admin.

NOTE

All emails sent from Planview Admin are sent from the address: no-reply@id.planview.com

To turn welcome emails on and off:
  1. On the Email Settings page, click the Send welcome emails toggle.
  2. In the confirmation dialog, click Yes.

The toggle turns grey when welcome emails are off and it turns blue when welcome emails are on. Even when the toggle is off, your users may still receive emails from Planview Admin as outlined below.

Planview Admin automated email rules

Planview Admin sends emails for the following actions only if the Send welcome emails toggle is on:

  • An administrator creates a user and SSO is enabled. In this case, no action is needed by the user to set a password.
  • A new user is created from a user sync from another product whether SSO is enabled or not.
  • A new user is created by CSV import whether SSO is enabled or not.

Planview Admin always sends an email for the following actions. These are sent even when Send welcome emails toggle if off.

  • Password reset (either when sent by an administrator or requested by a user on the login page).
  • A notice to a user after their password has changed.
  • A new user created by an administrator on the Users tab, when the user is using password authentication. This email is needed for the user to set their Planview Admin password.
  • An existing user is changed to changed to use local password authentication by an administrator on the Users tab. This email is only sent if the user did not have a password previously set.
  • Notifications of completion of some background jobs like CSV import.
  • A new user is invited to ProjectPlace.
