System User-defined Fields Setup

On the System User-defined Fields Setup page, Administrators can define custom fields that are shared across all projects in the system. You can also define custom attributes for the fields from this page.

Configuring Fields

There are four field types:

  • Text
  • Number
  • Date
  • Dropdown

When you create a user-defined field, you can configure it using the formats and options available to each field. The options available for each field are summarized in the table below.

Field Type Available Formats Available Options

  • Add Attribute - Add the field to the attribute table in Portfolios, Projects, and tab views.
  • Definition - The field's default value. In Dropdown fields, the definition must one of the choices you created for the field. By default, definitions are blank.
  • Description - Adds an icon that you can hover over to see a description of the field.
  • Add to Portfolio - Adds the field to Portfolios
Text    
Number
  • Suffix - Abbreviates large values with a suffix. For example, displays 12M for values that can round to 12,000,000.
  • Nearest integer - Displays nearest integer values.
  • Tenths - Displays values rounded to the nearest tenth.
  • Hundreths - Displays values rounded to the nearest hundreth.
  • Rounded % - Displays values as a percent rounded to the nearest integer.
  • Tenths % - Displays values as a percent rounded to the nearest tenth.
  • Validator - Adds the number validation method to use.
Date
  • d Mon YYYY - Day, month, year.
  • Mon YYYY - Month and year.
  • YYYY QQ - Quarter
 
Dropdown  
  • Choices - Adds choices in the list that users can select for the field.
To create a user-defined field:
  1. In the Configure Fields section of the page, click Add field. You may need to expand this section to see the button. 
  2. In the dialog box, enter a unique name for the field and select a field type.
  3. Click Ok. This adds the field to the list of user-defined fields. Once the field is in the list, you can customize its format and options. The Definition option is added to all new fields by default.
  4. At the top of the page, click Save Changes. User-defined fields will not appear in projects until the system is restarted.
  5. At the top of the page, click Restart System.
To customize a user-defined field:
  1. If you are customizing a number or date field, select a format from the Format dropdown next to the field.
  2. Click on the plus icon next to the field you want to customize.
  3. Click on the option you want to add to the field.  The option will appear as a chip in the field's row. If you are adding choices to a dropdown field: 
    1. Enter a value into the table that appears.
    2. Click the plus icon to add another row.
    3. Enter another value into the new row.
    4. Repeat steps 2 and 3 for each choice you want to add.
    5. Click Save.
  4. If you need to remove an option, click the X on the option's chip.
  5. At the top of the page, click Save Changes.
  6. At the top of the page, click Restart System.
To remove a user-defined field:
  1. Click the trash icon next to the field you want to remove.
  2. Click OK.
  3. At the top of the page, click Save Changes.
  4. At the top of the page, click Restart System.

Customizing Attributes

There are three attribute types:

  • Text
  • Number
  • Date
To create an attribute:
  1. In the Configure Attributes section of the page, click Add Attribute. You may need to expand this section to see the button. 
  2. In the dialog box, enter a unique name for the field and select an attribute type.
  3. Click Ok. This adds the field to the list of attributes. Once the field is in the list, you can customize its options.

               

    NOTE

    Attributes must have an identifier configured in order to be saved in the system.

               

  4. At the top of the page, click Save Changes. New attributes will not appear in portfolios until the system is restarted.
  5. At the top of the page, click Restart System.
To customize an attribute:
  1. Click on the plus icon next to the attribute you want to customize.
  2. Click on the option you want to add to the field.
    1. If you are adding an identifier, select a value from the dropdown list.
    2. If you are adding views, select one or more views and click Done.
  3. At the top of the page, click Save Changes.
  4. At the top of the page, click Restart System.
To remove an attribute:
  1. Click the trash icon next to the attribute you want to remove.
  2. Click OK.
  3. At the top of the page, click Save Changes.
  4. At the top of the page, click Restart System.
