Managing Presets and Folders
In some areas of Planview Advisor, users can create and switch between preset views. The preset menu names differ slightly from page to but their functionality is shared. Presets are available in the following areas:
- Project Home page - Presets are found in the in the Setting panel (bar chart icon) in the upper-right corner.
- Portfolio Home page - Presets are found in the in the Setting panel (bar chart icon) in the upper-right corner.
- Individual portfolio pages - Presets are in the View panel (bar chart icon) in the upper-right corner.
NOTE
Individual portfolios have additional preset options. These options are described on the Portfolio Preset Folders page.
- Data Shuttle - Presets in the Report panel (stacked disks icon) in upper-right corner of the Create Excel Export section.
Users can also control if others can use their presets by adjusting its visibility. The levels of visibility are:
- Private - These are only visible to their creator.
- Public - These presets are available for other users to import into their views.
- Global - These presets are available in the preset menu for all users by default. Only administrators can create global presets.
Presets can by grouped into folders and subfolders in the preset menu so that you can keep your presets organized.
Presets
To create a new preset:
- Open a page that supports presets and adjust the visible data to your liking. You can do this with any of the filters or tools available on the page.
- Open the preset menu by clicking its icon.
- Enter a name in the New setting/folder field.
- Click the plus icon.
This creates a new preset in the menu. You can apply this preset to the page by clicking on it. New presets are Private by default.
TIP
If you want to create the view in an existing folder or subfolder, click on the folder in the presets menu before clicking the plus icon.
To rename a preset:
- Open the preset panel.
- Hover over the preset you want to rename.
- Click the Pencil icon to the right of the preset's current name.
- Enter a new name in the pop-up window.
- Click OK.
- Click OK again to confirm.
The preset will be renamed.
To edit a preset:
- Open the preset panel.
- Click on the preset to apply it to the page.
- In the page, adjust the visible data using the filters or tools available on the page.
- In the preset panel, click the Save icon to the right of the preset's name.
- Click OK in the confirmation pop-up.
The preset will be overwritten with your new settings.
To change the visibility of a preset:
- Open the preset panel.
- Hover over a preset.
- In the row of icons to the right of the preset's name click the third icon (in the Data Shuttle, this is the second icon).
Clicking the icon changes the preset's visibility and the appearance of the icon. The icon's initial appearance will vary based on the preset's current visibility:
- Private presets appear as a single meeple icon.
- Public presets appear as a multi-meeple icon.
- Global presets appear as a globe icon.
To delete a preset:
- Open the preset panel.
- Hover over a preset.
- In the row of icons to the right of the preset's name, click the trash bin icon.
- Click OK in the confirmation pop-up.
The preset will be deleted.
Folders
To create a new folder:
- Open a page that supports presets.
- Open the preset menu by clicking its icon.
- Enter a name in the New setting/folder field.
- Click the Create folder icon. It appears as a folder with a plus in the center.
This adds the folder to the presets menu. You can add presets to the folder by dragging them over the folder.
To create a new subfolder:
- Open a page that supports presets.
- Open the preset panel by clicking its icon.
- Enter a name in the New setting/folder field.
- Click the Create folder icon. It appears as a folder with a plus in the center.
- Drag the new folder over another folder in the menu.
The folder will be added as a subfolder in the presets menu.
TIP
In a portfolio's page, you can move a subfolder out of its parent folder by dragging it over to one the default view folders, such as Layouts. This will bring the subfolder on the main heirarchy level in the presets menu.
To rename a folder:
- Open the preset panel.
- Hover over the folder you want to rename.
- Click the Pencil icon to the right of the folder's current name.
- Enter a new name in the pop-up window.
- Click OK.
The folder will be renamed.
To delete a folder:
- Open the preset panel.
- Hover over a folder.
NOTE
Only empty folders can be deleted. You need to move or delete existing presets in the folder before you can delete it.
- In the row of icons to the right of the folder's name, click the trash bin icon.
The folder will be deleted.
Importing Presets
You can import any public preset to view it in your or add into your preset menu. In order to find a specific preset, you will need to know which user created it.
To open a public preset in your current page:
- Open the preset panel.
- Click the Import icon. It appears as a stack of three bars in the upper-right corner of the preset menu.
- Click on the dropdown menu that appears and select a user. You can also use the search box to find the user. Their public presets will appear in the menu.
- Click on a preset.
The preset will open in your current page.
To add a public preset to your presets menu:
- Open the preset panel.
- Click the Import icon. It appears as a stack of three bars in the upper-right corner of the preset menu.
- Click on the dropdown menu that appears and select a user. You can also use the search box to find the user. Their public presets will appear in the menu.
- Hover over the preset you want to add.
- Click the star icon to the right of the preset's name.
The preset is added to your preset panel as a favorite.
To set your initial view:
- Open the preset panel.
- Click the Import icon. It appears as a stack of three bars in the upper-right corner of the preset menu.
- Next to Initial View, click Change.
- From the dropdown menu, select a preset. Only global presets will be available in the dropdown.
- Click the check icon to save your selection.
