Keystroke Steps: Substitute Resources—Resource Management and Assignments
Concept
It is easy to substitute one resource for another to complete work assignments. Directly from Resource Management and Assignments, you can substitute one or more tasks from one resource to another. You can also assign a new resource to all of a particular resource’s assignments. The original assignment’s profile is retained when a new resource is assigned.
To assign a new resource to one assignment:
- Search for the relevant resource portfolio >
> Resource Management and Assignments>
Resources and Assignments. It's helpful to Group by Resource Name, then Work Name.
- On a line for a relevant resource assignment, select
> Substitute (Figure 1).
- Use the Data Picker to select a replacement resource.
- The assignment will no longer display for the original resource and will display for the new one.
To assign a new resource to all assignments for a particular resource:
- Search for the relevant resource portfolio >
> Resource Management and Assignments>
Resources and Assignments.
- On a line for a relevant resource, select
> Substitute (Figure 2).
- Use the Data Picker to select a replacement resource.
- The assignment will no longer display for the original resource and will display for the new one.
Tip
You can also substitute one resource for another by dragging the assignment for one resource to a new resource (Figure 3). Click Yes to the confirmation message to confirm the substitution.
Tip
Employee start and finish dates are respected when new assignments are made. If the new employee uses a different calendar from the original employee, the system tries to fit the assignment into the new employee’s calendar. Use caution with this, since it can be problematic trying to fit a full-time person’s work into a part-time schedule, for example.
Tip
When a reserve is substituted on the Resource Management and Assignments screen, any associated allocations are substituted as well. This approach lets resource managers focus on a resource's entire effort rather than the pending effort that is typically the focus of project managers.
Tip
The single resource view of Resource Management and Assignments is useful for checking and/or adjusting a resource’s assignments before or after a substitution.
