Prepare Your Plan

There is an even closer connection between activities and cards. Cards that are connected to an activity in the Plan tool must be on the same board. It will therefore no longer be possible to break down an activity into cards on multiple boards.

In order to fully experience the full funtionality of Projectplace, your plan must be updated in accordance with the following conditions - the project will have the old interface until the plan has been updated.

The good news is that we can help you update the plan through our plan preparation guide! This guide is available to administrators of affected projects.

How to Access the Plan Preparation Guide

Click the Prepare plan button in the upper right-hand corner of the project. You will see a list of affected activities – click Start the guide to start the preparation.

If you want to save a copy of the plan before you go through the preparation guide, click the cogwheel icon Options Menu Icon.png and choose Export to Excel.

There are two options for how you want to prepare your plan:

Automatically Break Down My Activities

If you choose this option, Projectplace will prepare the plan for you automatically. Sub-activities will be created for all affected activities. This is the most convenient way to immediately benefit from the updated Projectplace.

Example: This activity has six cards located on two different boards.

Result: Two sub-activities are created, one for each board.

When you click Next in the guide, you will see a list of the affected activities. When you click Next again, your plan will be changed and the sub-activities will be created.

Your plan will change immediately and the changes cannot be undone.

I Want to Manually Go Through the Activities

If you choose this option, you will be guided through the activities one-by-one, to let you select the appropriate action for each activity.

There are three options for each activity:

Break Down into Sub-Activities and Connect the Cards

One sub-activity is created for each board that has cards connected to the activity.

Example: This activity has six cards, located on two different boards.

Result: Two sub-activities are created, one for each board.

Disconnect Cards From an Activity

With this option, there will no longer be any connection between the cards and the activity in the plan. This has a few implications:

  • In the Boards tool, you will no longer be able to group the cards on activity.
  • In the Plan tool, you will no longer be able to follow up on card progress.

 

Example: This activity has six cards, located on two different boards.

Result: No cards are visible on the activity.

Move Cards to One Board

With this option, you select a single board that all connected cards will be moved to.

 

Example: This activity has six cards, located on two different boards, board A and board B. The user chooses to move all cards to board B.

 

 

Result: The activity in the plan looks the same, but the cards on board A have been moved to board B.

 

 

If the status column of a card does not exist on the target board, the card is placed in the first column of the board.
