Creating Request Gates

Note: PPM Pro administrators create request gates.

Each time a request type is created, a Final Approval Gate is created for the type by default. If you do not need additional gates, you can just create the Final Approval Team. You create additional gates from the Gates tab, as well as create gate approval teams, determine field visibility, or delete a gate.

  1. Navigate to Admin/Setup/All Entities/Request/Types.
  2. Select the [Info] link next to the request that you want to create a gate for.
  3. Click the Gates link.
  4. Choose Menu > New Gate.
  5. Enter the configuration information in the Create a New Gate dialog as described in the table below:

Description

Sequence

(Required) The sequence number determines the ordering of the gate. For example, a gate with a sequence number of 10 appears before a gate with a sequence number of 20.

Title

(Required) The name of the gate.

Gate Approver

(Required) Choose the user who must give final approval for the request to be granted.

Submitter Can Select Approver

Check this box to give the ability to the requester to specify a single approver for the gate (if there are multiple approvers on the approval team).

Gate Approval Required

(Required) Choose Any Gate Approval Team Member or Gate Approver to allow anyone one the approval team to approve the request and submit it to the next gate. Choose All Gate Approval Team and Gate Approver to require everyone on the team to approve the request before it is submitted to the next gate.

Status Log Action Text

Enter the text that is presented to the user in the request status log after a request is submitted. This text describes the action that is to be performed at the specified gate (see screenshot below, which shows examples of Status Log Action Text and Status Log Approval Text). Enter the action that will be taken on the request.

Status Log Approval Text

Enter text that is presented to the user in the request status log after a request has been approved at one gate and is sent to the next gate. This text generally reflects the status of the previous gate. For example, "Budget has been approved."

To view the status log of a request, navigate to Requests. Double-click on the request and then click the Status tab. The screenshot below depicts where this text, and the Status Log Action Text appear in the Status log. The message text is entered by the end user.

  1. Click Save.

Note: By default all request fields are displayed at each gate. To hide a field at a gate, select the [Fields] link at the gate, then edit the field visibility.

To delete a gate

  1. Navigate to Admin/Setup/All Entities/Requests/Types.
  2. Select the [Info] link next to the request that you want to create a gate for.
  3. Click the Gates link.
  4. Click the [Delete] link for the gate you wish to delete.
  5. Click OK to confirm the deletion.
