About Approval Teams

Requests move from submission to approval (or rejection) by way of approval teams. An approval team is one or more resource(s) who, by virtue of being on an approval team, has rights to approve or reject a request. There are two types of teams: a final approval team and a gate approval team.

Teams can have multiple members, but not all members must approve/reject a request for the request to be submitted to the next gate. You control this behavior when you create the gate.

Final Approval Team

Request types have a single gate by default – the final approval gate. You create a Final Approval Team to be responsible for approving (or rejecting) a request once it has reached the Final Approval Gate. Final Approval team members receive request alerts once a request has been approved through all gates and is awaiting final approval.

You can have “any” approver at the gate give approval or require “all” approvers on the gate approval team to approve at that gate. Depending on which option you choose,  when a request goes to the final approval gate, notifications are sent to the approval team that a request is awaiting approval. Once final approval is given, an option will be presented to create the item from the request (for example, create a project from a project request).

Gate Approval Team

A Gate Approval Team is responsible for approving (or rejecting) a request once it has reached the gate the team is associated with.

Creating Approval Teams

The Final Approval Teams has its own tab under [Info] link for the request type. The Gate Approval Team is configured under the [Approval] link for the gate.

To create a final approval team

  1. Navigate to Admin/Setup/All Entities/Requests/Types.
  2. Select the [Info] link for the request type you are creating the team for.
  3. Click the Final Approval Team link.
  4. Choose Menu > New Team Members.
  5. In the Add Team Members dialog, select one or more users from the All Users panel and click the right arrow to move them to the Selected Users panel.
  6. Click Save.

Note that you can configure the request to allow the request submitter to choose the final approver; configure this option on the request type's Info tab.

To create a gate approval team

  1. Navigate to Admin/Setup/All Entities/Requests/Types.
  2. Select the [Info] link for the request type you are creating the team for.
  3. Click the Gates link.
  4. If the gate already exists, click the [Approvals] link. If the gate does not already exist, create the gate.
  5. Choose Menu > New Team Members.
  6. In the Add Team Members dialog, select one or more users from the All Users panel and click the right arrow to move them to the Selected Users panel.
  7. Click Save.

Note that you can configure the gate to allow "any gate approval team member or gate approver" or require " all gate approval team and gate approver" to approve the request; configure this option on the Gates tab by clicking the [Edit] link for the gate.
