Request Field Worksheet

When setting up request fields, you can configure the fields to be available in reports and/or filters. You can also designate if the fields will be present on the new request form and/or on the final request form. If you have set up one or more request gates, you can also designate at each gate whether or not the fields will be present at that gate.

This topic provides information about the fields for configuring a request type. You configure fields individually for each specific request type. Note that you use the Panel and Sequence numbers together to specify where on the request the fields will fall. There is a Layout Preview section on the Fields & Mappings screen for a request.

Field

Description

Title

The name for the field you are creating.

Java Type

Designates what type of data is to be captured in the field, such as a date, whole or decimal number, or text.  

  • Boolean

  • Date - date field

  • Float - numeric with 2 decimal places

  • Human Resource - not currently in use

  • Integer - numeric with no decimal places

  • Long - numeric with greater than two decimal places

  • Oversize String - Alpha-Numeric Text Box (Description, Objective, etc.)

  • String - Alpha-Numeric

View Type

The view type is used to designate how the data will be formatted, displayed, or selected. You are selecting the field behavior: is it a pick list, formatted phone field, radio button? and so on.

With the addition of self-serve administration, PPM Pro introduced new view types that have their own structure and sub-type IDs. The new SSA view types have a suffix of "superset".

View Subtype

Indicates which list of values is referenced when using certain view types.

Field Length

A suggestion for the maximum number of characters that the field can contain. Generally it is best to leave it at the default 255 unless you have a specific reason to limit it to a smaller number (see Note below).

Note: When working with oversize string java type and the view type is text box, the field length represents the number of rows displayed. In this case you will probably want to change the default field length to a smaller number.

Display Length

A suggestion for the number of characters wide to display the field in the UI. A larger display length will result in a wider field.

Note: When working with oversize string java type and the view type is text box, the system will try to use the maximum width available, for example the width of the popup that contains the field, regardless of the suggestion (Display Length value).                                                    

Show for New

Indicates the field will be displayed when a user creates a new request.

Show for Final Approval

Indicates the field will be displayed when the request is waiting final approval.

Is Required?

Indicates the field is a required field and the request cannot be created, edited, or approved until the required data is entered.

Panel

Determines the placement of the field on the request. There are 9 panels: 1 & 2, 4 & 5, 7 & 8 are placed side by side. 3, 6, and 9 are meant for wide text boxes.

Sequence

Determines the order of the fields on the request form, in ascending order, within a panel. Fields with lower sequence values will be presented before fields with higher sequence values.

It is a good idea to make the sequence numbers in multiples (10, 20, 30) so you can insert new fields in between existing fields.

Calculated Field

Calculated fields based on request items are created for specific request types. If you are configuring a request type that a calculated field was created for, it will appear on the Fields & Mappings tab for the request type. See About Calculated Fields for more information.

Calculation Class

Select a calculation class for numerical fields such as integers or money fields. When running reports you will be able to apply the selected calculations.

Report Visibility

Indicates the field will be available in the reporting engine. (Yes, No)

Filter Visibility

Indicates the field will be available in the filter function. (Yes, No)
