Work and Assignments Screen Elements

The following table describes elements of the Work and Assignments screen. You can edit cells, select rows, sort rows, resize columns, and use the mouse or keyboard shortcuts to move the cursor and perform actions on the screen. To learn about the business rules relevant to this screen, see Business Rules in Resource Management.

Schedule 

Displays the Work Breakdown Structure (WBS) of the current work item.

Schedule and Assignments

Displays the WBS and assigned resources for the current work item.

The State, % Utilization, Requirement Name, and Requirement ID columns always appear in this display no matter which column set you select.

Tip!

By double-clicking a % Utilization cell, you can adjust a requirement's effort as a percentage of the task’s duration. Changing the % Utilization value automatically affects the Effort value.

Backlog

Displays a tabular view of the action items associated with the current work item.

Schedule and Backlog

Displays the WBS of the current work item, the action items associated with it, and the Backlog pane.

Resources and Assignments

Displays resource data pivoted so that resources are listed at the top, with associated tasks listed beneath each resource.

Lets you select a different column set or select the Manage Column Sets option so you can configure column sets or delete ones you created.

 

Lets you create new work baselines and update, restore, or delete existing work baselines. Clicking a baseline name in this list lets you set it to be the active baseline.

 Schedule

Runs the CPM Scheduling Engine, which updates the schedule of the entire work item.

After you update the schedule for a work item, the button changes to Undo Schedule. You can click that button to undo the last schedule change.

The various schedule-related buttons are displayed only if the Use CPM Scheduling feature is enabled on your user role.

Enter text to filter grid

Lets you narrow down the screen's content by applying a filter.

Lets you apply a pre-defined filter that you or an administrator previously created for the Work and Assignments screen.

This button is not available while the Resources and Assignments option is selected in the pivot list.

the clock button

Controls the time periods displayed on the screen. Options include days, weeks, months, quarters, or years.

Note: Depending on which view you select from the pivot list, this control can change the timescale for the Gantt chart or for the effort profile columns.

  • To change the timescale of the Gantt chart, first click Work Breakdown on the pivot list, making sure to use a column set that includes the Gantt Chart column, then click the timescale control and select the appropriate time increment.
  • To change the timescale of the effort profile columns, click the timescale control and select the appropriate time increment. Note: You can use any of the pivot list options to change how the data is displayed, but do not include the Gantt Chart column in the column set you use.

Displays the Work and Assignments Preferences screen from which you can set how data is visualized on the Work and Assignments screen as described in Setting Preferences for the Work and Assignments Screen.

Additional preferences can be set as described in Setting General Preferences.

Note: The Use Project & Resource Management feature is required for setting the Work and Assignments screen's preferences.

 

Lets you export data displayed on the screen to Microsoft Excel or a .pdf file. 

Effort profile columns

Displayed in the screen's right pane, these columns show the effort expended on a task during specific time periods. The columns include schedule data for each requirement, reserve, and allocation listed on the screen's left pane.

Depending on which option is selected on the pivot list and how your screen preferences are configured, resource-utilization bars can also be displayed in the columns on a row relevant to a reserve or allocation. The numerical value displayed next to a bar indicates the specific assignment effort during the time period for which the bar is representing utilization. On the screen's Schedule and Assignments view, the utilization is configurable and allows project managers to focus on the effort that could specifically impact their work or the work of their resources.

Each column is for a single time period. The time periods span the earliest schedule start date and latest finish schedule date of the assignments for which the screen is displaying data.

If you edit effort values in the effort profile columns, the screen's other columns are updated as described in Business Rules in Resource Management.

Note: When computing effort values, the system uses the appropriate Resource or Work calendar unless the Schedule and Assignments option or the Resources and Assignments option is selected on the screen's pivot list. In those cases, the effort profile columns display effort in your preferred effort unit (hours, days, or weeks) based on the number of minutes in the average hour, day, or week as defined in your Standard calendar. Effort profile columns use the Standard calendar to convert to the appropriate effort unit (hours, days, or weeks) rather than individual Work or Resource calendars to standardize how data is displayed when disparate calendars are in use.

Provides access to the Work and Assignments screen's action menu options.

the expand button

Expands the relevant parent.

  • Clicking this button at PPL expands the WBS to the previous level at which it had been expanded during the current session. Clicking this button at any level below PPL expands the WBS to its immediate child level.
  • Clicking this button next to the Name column heading expands all child rows.
  • Pressing Ctrl while clicking this button in the column header expands the hierarchy by one level.
  • Pressing Ctrl+Shift while clicking this button in the column header collapses the hierarchy by one level.

Collapses the relevant parent.

  • Clicking this button at PPL collapses the entire WBS.
  • Clicking this button next to the Name column heading collapses all child rows.
  • Pressing Ctrl while clicking this button in the Name column header expands the hierarchy by one level.
  • Pressing Ctrl+Shift while clicking this button in the Name column header collapses the hierarchy by one level.
