Modifying an Enterprise and Fiscal Calendar

If Financial Management is enabled, the default Enterprise and Fiscal Calendar must be modified by you or another administrator before financial-planning models, sponsorship, or investment and capacity planning alerts can be configured. In addition to that calendar, you can modify any of the Enterprise and Fiscal Calendars you or another administrator created to suit the needs of your organization.

To modify an Enterprise and Fiscal Calendar:

  1. Click Enterprise and Fiscal Calendar.

    The Enterprise and Fiscal Calendar screen appears.

  1. If necessary, click the Calendar list. Then click the calendar's name.

    The years displayed on the calendar represent all of the years for which you might want to capture financial data.

  2. Perform the following operations as needed:

  • Display rows relevant to a particular period by clicking the expand button, which is displayed as a black triangle pointing to the right, next to the period's name.

  • Change the FTE basis hours by typing the appropriate number of hours in the relevant cell of the FTE Basis Hours column and then clicking another cell. FTE basis hours are used in financial planning to automatically calculate FTEs if effort is entered and vice-versa.

  • Reset an FTE Basis Hours value back to its original default by clicking the relevant row, and then clicking Reset FTE Basis Hours for Selected Period. FTE basis hours default to the hours in the Standard calendar. If the periods do not exist in the Standard calendar, the default is 176 FTE basis hours per month.

  • Add a year to the calendar by clicking Add Year​​​​

    The name of the Add Year button depends on the text entered on the first row of the period levels displayed on the Manage Calendars screen. 

  • Rename a period or modify the value of another cell with a white background by double-clicking the relevant cell and then making edits as needed.

  • Delete the calendar’s first year or last year and all of the periods within that particular year. To do so, click the action menu on the appropriate row, click Delete, and then click Yes.

               

    NOTE

    You can delete a calendar's first year or last year only if no financial data relevant to that year is entered in a financial plan or investment plan.

               

           

Prerequisites (Why can't I Modify an Enterprise and Fiscal Calendar?)

If you can't modify an Enterprise and Fiscal Calendar, contact your administrator to ensure that the following prerequisites are met.

User Role Features

At least one of the following features must be enabled on your user role.

Enabled Global or System Options

  • None.

Permissions

  • None.

Additional Prerequisites

  • None.

To modify an the Enterprise and Fiscal Calendar:

  1. Click Enterprise and Fiscal Calendar.

    The Enterprise and Fiscal Calendar screen appears.

  1.  Perform the following operations as needed:
  • Display rows relevant to the quarters within a year or the months within a quarter by clicking the expand button, which is displayed as a black triangle pointing to the right, the expand button, which is displayed as a plus sign, next to the name of that year or quarter (respectively).
  • Change the FTE basis hours by typing the appropriate number of hours in the relevant cell of the FTE Basis Hours column and then clicking another cell. FTE basis hours are used in financial planning to automatically calculate FTEs if effort is entered and vice-versa.
  • Reset an FTE Basis Hours value back to its original default by clicking the relevant row, and then clicking Reset FTE Basis Hours for Selected Period. FTE basis hours default to the hours in the Standard calendar. If the periods do not exist in the Standard calendar, the default is 176 FTE basis hours per month.
  • Modify the data of a cell that has a white background by double-clicking that cell and then editing the cell's value as appropriate.
  • Add a year to the calendar by clicking Add Year.
  • Delete data of the calendar’s first year or last year and all of the periods within that particular year, by clicking  on the relevant row.
  1. If necessary, click the Calendar list. Then click the calendar's name.
