Working with Lifecycle Status Changes

Submit a Status Change Request

To submit a status change request:

  1. On the ribbon, click the Require Attention tile. If the tile does not appear on the ribbon, add it.

  2. In the Action column, click the appropriate link.

    The Set / Propose Status Change screen appears.

  3. Select the appropriate new status. If the support ticket is progressing nominally, select default status displayed in the list box.

               

    NOTE

    If the request for a status change is rejected, such that the status is set to anything other than what was requested, enter a comment to explain why the request was not fulfilled.

               

  4. Click OK. This action marks the step as finished, which triggers the next step in the lifecycle.

           

           

Review a Status Change Proposal

To review a status change proposal:

  1. On the ribbon, click the Informational tile. If the tile does not appear on the ribbon, add it.

  2. In the Action column, click the appropriate link.

    The Review Status Change screen appears.

  3. If you want to mark the step as finished and no longer display the notification on a tile, click Dismiss Review Notification.

           

           

Accept or Disapprove a Status Change Proposal

To accept or disapprove a status change proposal:

  1. On the ribbon, click the Need Approval tile. If the tile does not appear on the ribbon, add it.

  2. In the Action column, click the appropriate link.

    The Approve Status Change screen appears.

  3. If you want to review a support ticket's attributes, click the link for the name of the ticket description.

  4. Designate whether you want to accept or disapprove the status change by clicking the relevant link.

  5. If you are disapproving the status change, enter a comment to explain why you rejected the change.

  6. Click OK.

    If you accepted a status change, the Ticket Status field of the support ticket is modified to reflect the new status.

    If you denied a proposed status change, the related Set / Propose Status Change step is reactivated, and a disapproval notification is sent to the user who created the status change request.

           

           

Elements of the Lifecycle Status Changes Screens

The following table describes elements that can be displayed on the Set / Propose Status Change screen, Review Status Change screen, or Approve Status Change screen that appears as you submit a status change request for a lifecycle, review a status change proposal, or accepting such a change (respectively). The elements that display as you perform one of those tasks depend on the action you take and the screen relevant to that action.

Delegate this step to another user

Displays a screen on which you can select a different user to fulfill the lifecycle step.

This option lets you delegate a particular lifecycle step to another user, but you can also delegate all the steps of a lifecycle to another user.

Set / Propose Status Change to Selects the desired new status for the ticket. If the project is proceeding nominally, leave this selection at the displayed value, which is the intended status for a ticket at this point in its lifecycle. If you think that it is not appropriate to continue in the nominal lifecycle for this ticket, select a different status to invoke special handling (e.g., reset the ticket to On Hold or Denied). Dismiss Review Notification Marks the reviewing step as finished and displays the previous screen. Note that Review steps do not delay successor steps. Review Status Change

Comments of

Displays the comments of the user who submitted the request for a status change.

Approve Status Change

Your Comments

Contains comments to explain rejections or comment on the acceptance of documents. When a document is rejected, comments are required.

Accept Status Change to

Select to indicate that the project be designated as approved. This action triggers the next step in the lifecycle.

Approve Status Change

Deny Status Change to

Select to indicate that the project be designated as not approved. This action re‑triggers the earlier lifecycle step that proposed the not approved status.

  1. On the menu bar, click My Overview.

  2. On the ribbon, click the Require Attention tile. If the tile does not appear on the ribbon, add it.

  3. In the Action column, click the appropriate link.

    The Set / Propose Status Change screen appears.

  4. Select the appropriate new status. If the support ticket is progressing nominally, select default status displayed in the list box.

    If the request for a status change is rejected, such that the status is set to anything other than what was requested, enter a comment to explain why the request was not fulfilled.

  4. If you want to review a support ticket's attributes, click the link for the name of the ticket description.

  6. If you are disapproving the status change, enter a comment to explain why you rejected the change.

  7. Click OK.

    If you accepted a status change, the Ticket Status field of the support ticket is modified to reflect the new status.
